Executive, Global Business Solutions – Unit Trust Operations (Settlement)

Job Summary:
The Operations Executive will be responsible for the accurate and timely processing of settlement tasks, with a focus on Unit Trust dividend distributions and transfer transactions across different fund houses and platform aggregators. The role focuses on ensuring operational integrity, compliance with regulatory requirements, and seamless client servicing. The successful candidate will manage end-to-end dividend and transfer processes, handle exceptions, and support continuous improvement initiatives to enhance operational efficiency and service delivery.

Operational Management

Manage daily operations relating to Unit Trust dividend processing and transfer activities while ensuring adherence to regulatory and operational standards.

  • Process Unit Trust dividend distributions including cash payouts, reinvestments, and dividend entitlement calculations.
  • Perform validation of dividend declarations, entitlement records, and reconciliation of distribution amounts.
  • Coordinate with fund managers, custodians, and transfer agents to ensure timely and accurate dividend processing.
  • Handle Unit Trust transfer transactions including account-to-account transfers, change of ownership, and nominee transfers.
  • Verify completeness and accuracy of transfer documentation, ensuring compliance with regulatory and internal requirements.
  • Monitor and process subscription, redemption, and switching activities where relevant to transfer events.

Exception Handling & Client Servicing

  • Investigate and resolve discrepancies in dividend payments and transfer transactions.
  • Manage exception reports relating to failed or rejected transfers and dividend mismatches.
  • Liaise with internal stakeholders, intermediaries, and external parties to resolve operational issues.
  • Respond to client and internal queries related to dividend distributions and transfer status in a timely manner.
  • Ensure proper escalation of complex or high-risk cases in accordance with internal frameworks.

Process Improvement & Controls

  • Identify operational inefficiencies within dividend and transfer workflows and recommend improvements.
  • Support automation and system enhancement initiatives to improve processing accuracy and turnaround time.
  • Participate in testing and implementation of system changes impacting Unit Trust operations.

Documentation & Governance

  • Maintain up-to-date Standard Operating Procedures (SOPs) for Unit Trust dividend and transfer processes.
  • Review and recommend updates to operational procedures in line with regulatory changes and best practices.
  • Ensure proper record-keeping and documentation for all operational activities.

Qualifications & Experience:

  • Degree, engineering of finance related background preferred
  • 2 years of relevant experience in trade settlement and operations within Wealth Management preferred. Fresh Graduates are welcome to apply

Skills & Competencies:

  • Strong attention to detail and organizational skills.
  • High degree of accuracy required
  • Effective communicator with internal and external stakeholders.
  • Proficient in Microsoft Excel.
  • Knowledge and proficiency in basic coding, AI adoption, and/or RPA are preferred and advantageous.
