Intern, Automation & Operations (WPM)

About the Role

Workplace Management (WPM) is looking for a motivated and proactive intern to support our operational improvement and workplace initiatives.

The internship will provide hands-on exposure to workplace operations while giving the intern the opportunity to contribute to projects involving process improvement, digitalisation, self-service solutions and operational efficiency.

You will work closely with the WPM team to review existing processes, identify opportunities for improvement and support the development and implementation of practical solutions.

Key Responsibilities

1) Process Improvement & Digitalisation

  • Review existing WPM administrative processes and identify opportunities to improve efficiency and service delivery.
  • Assist in developing and implementing digital solutions to streamline routine administrative activities.
  • Explore suitable AI, automation and digital tools to reduce manual work and improve productivity.
  • Document current and proposed processes, workflows and procedures.

2) E-Commerce Procurement

  • Review existing procurement processes for routine administrative purchases.
  • Assist in developing a streamlined e-commerce procurement process, including workflow, approval and control requirements.
  • Support the implementation and documentation of the agreed process.

3) DIY / Self-Service Solutions

  • Identify suitable administrative services that can be converted into self-service solutions.
  • Assist in developing forms, workflows, guides or other digital solutions to make administrative services easier and more accessible to employees.
  • Support pilot implementation and gather feedback for further improvement.

4) Workplace & Employee Experience

  • Support workplace enhancement initiatives, including workplace beautification and plants rollout.
  • Assist with coordination, implementation tracking and documentation.

5) Workplace Operations

  • Provide operational support to WPM, including Reception coverage when required.
  • Assist with day-to-day administrative and workplace management activities.
  • Support the team during staff activities, training and other operational initiatives.

6) Documentation & Handover

  • Prepare SOPs, work instructions, process maps and other documentation for implemented initiatives.
  • Maintain proper records and provide a final handover of completed projects.

What We Are Looking For

We are looking for someone who is:

  • Proactive, curious and willing to learn
  • Comfortable with technology and digital tools
  • Interested in process improvement and problem-solving
  • Able to work independently and take ownership of assigned tasks
  • Organised and detail-oriented
  • Able to communicate effectively with different stakeholders
  • Proficient in Microsoft Office applications, particularly Excel and PowerPoint
  • Interested in AI, automation or digitalisation will be an advantage

Internship Deliverables

The intern will be expected to contribute to selected WPM improvement initiatives, which may include:

  • E-commerce procurement process
  • WPM DIY/self-service solutions
  • AI/digitalisation opportunities
  • Workplace enhancement initiatives
  • Operational support and Reception coverage
  • SOPs, process documentation and handover materials

The specific projects and deliverables will be determined based on WPM priorities and the intern’s capabilities and interests.
