Facilities Officer

About the Role:

We are seeking a proactive and hands-on Facilities Officer to support the day-to-day management of the organisation’s workplace facilities and infrastructure. This role is responsible for coordinating facilities operations, maintenance activities, vendor and contractor management, and liaison with Building Management to ensure a safe, efficient, and well-maintained workplace environment. The successful candidate will be a self-motivated individual who takes ownership of facilities matters, work collaboratively with stakeholders, and ensures issues are followed through to timely resolution.

Key Responsibilities:

  • Coordinate daily facilities operations and maintenance activities across office premises.
  • Monitor preventive and corrective maintenance works and ensure timely completion of follow-up actions.
  • Conduct regular site inspections to identify defects, maintenance concerns, and operational risks.
  • Liaise with Building Management on building services, access arrangements, maintenance matters, and facilities-related issues.
  • Manage and coordinate vendors, contractors, and service providers to ensure quality service delivery and compliance with agreed requirements.
  • Obtain quotations, verify completed works, and support invoice processing and related administrative requirements.
  • Maintain accurate records of maintenance activities, service reports, assets, and facilities documentation.
  • Track, monitor, and follow up on outstanding facilities issues through to closure.
  • Support workplace improvement initiatives, office projects, space planning activities, and reinstatement works.
  • Assist with workplace safety, emergency preparedness, business continuity activities, procurement matters, and other Workplace Management initiatives.
  • Perform other duties as assigned by the Head, Workplace Management.

Requirements:

  • Diploma in Facilities Management, Building Management, Engineering, Property Management, or a related discipline.
  • Minimum 2 years of relevant experience in facilities management, building management, property management, workplace management, or a similar environment.
  • Experience in coordinating vendors, contractors, maintenance works, and facilities service providers.
  • Ability to independently manage facilities issues and drive matters through to resolution.
  • Strong organisational, communication, and stakeholder management skills.
  • Good problem-solving ability with a hands-on and service-oriented approach.
  • Ability to manage multiple priorities and respond effectively to operational requirements.
  • Proficient in Microsoft Office applications.
  • Experience in a corporate office, financial services, or regulated environment will be an advantage.
